Seamless AV Relocation for a Leading Technology Consultancy

Office AV Relocation

The Objective

Our client, a growing technology consultancy, recently relocated from their long-term headquarters in Woking to a new modern workspace in Holborn, Central London. With six meeting rooms equipped with integrated AV systems, plus a large-format Phillips LED wall. The goal was to deinstall all existing equipment, transport it safely, and reinstall it within the new premises under a tight move-in schedule. One of the more intricate aspects of the project was the full decommissioning of the Phillips LED wall, requiring delicate module removal, detailed labelling, safe dismantling of the cabinets and supporting structure, and protective transport to prevent damage. Alongside this, the team had to coordinate AV works around an active office fit-out, with construction and electrical contractors still finalising the space. Timing, flexibility, and tight communication were essential.

Proposed Solution

After a detailed assessment of both sites, our team developed a structured plan to streamline the deinstallation and reinstallation process. For the Phillips LED wall, engineers conducted a module-by-module breakdown, cataloguing each panel, disconnecting power and data feeds, and removing the mounting frame in carefully sequenced stages. All components were safely packed and prepared for transport. At the Holborn site, we aligned installation phases with ongoing fit-out works, reconfiguring system layouts, updating network cabling, and recalibrating all displays, conferencing systems, and the LED wall to suit the new environment.

Implementation

The deinstallation at Woking, including the LED wall breakdown, was completed within two days. This provided time for the team to stage and test equipment prior to transport. Once access was approved at Holborn, installation of all six rooms — along with reassembly and commissioning of the LED wall — took place over four working days. Schedules were continually adapted to site conditions and contractor activity. Our engineers carried out full commissioning of each space, ensuring optimal audio-visual performance and network stability across all rooms.

Outcome

Our client’s new Holborn headquarters now features fully functional, modern meeting rooms and a fully reinstalled Phillips LED wall ready for hybrid meetings, presentations, and client sessions. The transition was achieved without downtime, preserving business continuity throughout the move.

Conclusion

This project highlights our ability to deliver complex AV relocations, including delicate LED wall decommissions, under tight timelines and challenging conditions. Through close coordination with the client and contractors, we ensured all technology moved with our client — safely, seamlessly, and on schedule.
